Apify is the largest marketplace of tools for AI. On Apify Store, tens of thousands of Actors, purpose-built tools for the web, help people and AI agents get real-time data, track competitors, generate leads, and connect apps. Anyone can build one and earn from it.
Join us to help people put the web to work. Apify can find missing children, protect consumers from fake discounts across the EU, and feed data to AI chatbots.
We're looking for a People Automations Partner to join our People team, with Apify's knowledge base as your first mission.
Apifiers and their AI agents need the right information to move fast, but right now it's scattered across Notion, Slack, Google Drive, and GitHub, and often outdated. You'll partner with team leaders to set new standards, build AI automations that keep content current, and help make sure company-wide information reaches the people who need it.
Beyond this, you'll get the chance to take on other People projects and help shape where the role goes as the company grows.
#work
Information architecture: Audit all our main internal knowledge sources, design an overarching information architecture, and help teams work with it effectively.
Notion wiki: Restructure and maintain Apify's Notion so it works for both people and AI agents. Close the biggest information gaps with content owners and fix things directly where you can.
Knowledge automation: Build AI automations that assign ownership, flag outdated content, trigger reviews, and archive what's no longer needed, starting in partnership with Engineering and growing into owning them independently.
Onboarding: Own and improve the whole information flow new hires go through.
Internal communication: Spot the topics everyone needs to know about and pick the right person, channel, and format to share them. Take over some of our current channels and formats, including All Hands and the internal newsletter.
You use AI tools like Claude every day and default to an automate-first approach.
You have 3+ years of experience working with leadership and team leaders on people-related initiatives.
You spot inconsistencies and fix them yourself instead of reporting them.
You are fluent in English, both spoken and written.
#nice-to-haves
You understand how LLMs work with context.
You have built, improved, or managed knowledge bases for technical audiences.
You have hands-on experience with Notion and familiarity with GitHub.
#first-months
Complete the general onboarding and document outdated or missing content you find along the way.
Map how Notion, Slack, Google Drive, and GitHub are actually used day to day and start the full Notion audit.
Identify the main information gaps and set up a priority system for content review.
Learn how company-wide information flows today through All Hands, Slack, and the newsletter.
Ship at least one quick fix that visibly helps a team find something faster.
Propose an information architecture across Notion, Slack, Google Drive, and GitHub: what information lives where, with clear ownership and retention rules.
Propose a standardized template for main Notion index pages and pilot it with at least three teams.
Scope the core automations for assigning ownership, reviewing content, flagging outdated content, and archiving, then partner with Engineering to build them.
Close the highest-priority information gaps from month 1, working with owners and making updates directly where you can.
Ship the first improvements to the information new hires get, based on your own onboarding and feedback from recent starters.
Follow one All Hands cycle end to end and own its follow-up communication. Ship at least one newsletter edition and form a first view on whether it's working.
