Global HR Operations Specialist
We are looking for a Global HR Operations Specialist to manage HR operational processes across our legal entities. In this role, you will oversee the employee lifecycle, ensure HR documentation complies with local labor laws, and coordinate with payroll providers, legal advisors, and internal stakeholders. This position requires a hands-on professional who can independently manage HR operations with accuracy and consistency.
Responsibilities:
Act as subject-matter expert for Polish HR administration, tracking legislative updates and translating them into clear operational impact across documentation, processes, and compliance controls.
Execute and maintain global HR operational processes across the employee lifecycle: accurate processing of onboarding and offboarding documents, documents for employee changes, absences, and terminations in coordination with Payroll Team and external providers across multiple jurisdictions (Lithuania, Estonia, Poland, others).
Oversee all employee lifecycle transactions in HiBob or related HRIS platform: new hires, internal transfers, role and department changes, promotions, compensation updates, and offboarding.
Own and continuously optimize HiBob or related HRIS platform configuration, workflows, and data integrity (i.e., org structure, employee records, custom fields, and automated flows).
Maintain complete, accurate, and audit-ready employee files and HR records in line with local regulatory requirements in HiBob or related HRIS platform.
Provide operational HR support to employees on employment-related topics.
Identify opportunities to improve, harmonize, and standardize HR operational workflows across the EMEA region while respecting local legal requirements.
Requirements:
4+ years of experience in HR Operations, HR Administration, HR Specialist, or a related role.
Bachelor's degree in Legal, Human Resources, Business Administration, or a related field.
Strong practical knowledge of the Polish Labor Code, HR administration practices, and operational controls, with demonstrable experience applying them in a multi-entity environment.
Strong practical knowledge of EMEA labor law and its application in daily HR operations.
Strong understanding of the full employee lifecycle from an operational perspective.
Proven hands-on experience with HiBob or related HRIS platform, covering:
Employee lifecycle management: onboarding, internal transfers, promotions, compensation changes, and offboarding.
Maintaining an accurate and up-to-date org structure across multiple legal entities.
Custom fields, reporting, and people analytics.
High attention to detail and strong organizational skills.
English level (C1), Polish level (B2+).
Nice to have:
Experience working in international or multi-country environments.
Experience supporting audits or labor inspections.
Experience working with EU employment regulations and practices.
Experience supporting HR processes during legal entity setup or restructuring.
