Role Summary

We're hiring an Executive Assistant to support Dwelly's leadership team and to build the company's EA function from the ground up. This is a senior, career-level hire: someone with 10+ years of experience, ideally forged in a fast-paced startup or in direct support of senior executives, who can run a principal's day-to-day with total reliability while also standing up and leading a team of EAs (a team likely to grow further as Dwelly scales). 

 

What You'll Do

Your main objective is to build a structure that maximises the executive team's time, reducing administrative and operational burden across both their professional and personal lives so they can focus more time on productive work and rest.

Executive support

• Own the calendar, inbox, and daily operating rhythm for senior leadership, anticipating needs before they arise
• Coordinate complex, multi-stakeholder scheduling across time zones
• Prepare briefing materials, agendas, and follow-ups for high-stakes meetings
• Manage travel, expenses, and other administrative workflows with precision
• Act as a trusted gatekeeper, exercising sound judgment on what requires the principal's attention and what does not

Team leadership

• Build from scratch and manage a team of EAs supporting other members of the leadership team, with the function expected to grow over time
• Set the structure, standards, and quality bar for how the EA function operates across the company
• Hire, onboard, coach, and develop EAs as the team scales
• Build processes and tools that enable the team to operate consistently and efficiently

 

What We're Looking For

• 10+ years of experience as an Executive Assistant, ideally in a fast-paced startup or supporting senior executives
• Proven experience managing or leading a team of EAs
• Proactive and autonomous, with the ability to anticipate needs, identify issues before they arise, take initiative, and drive tasks through to completion with limited direction
• Exceptional organisational skills and the ability to manage multiple priorities without losing attention to detail
• Strong ownership mentality and a can-do approach, with a bias toward solving problems rather than simply escalating them
• Strong attention to detail
• A collaborative team player who works effectively across the organisation while independently managing their own workload and responsibilities
• Exceptional written and verbal communication skills, with the ability to communicate effectively with a wide range of stakeholders
• Proficiency with modern productivity and collaboration tools, including calendar, email, project management, and similar platforms
• High integrity, professionalism, and discretion, with the ability to handle sensitive and confidential information

 Nice to Have

• A genuine, long-term commitment to the EA craft — someone who sees deep mastery of executive support and team-building as a career in itself, not a stepping stone to another function
• Event Planning Experience
