Travel Coordinator
We are looking for a highly organized and proactive Travel Coordinator to manage and optimize all aspects of travel for our founders and team. This role goes beyond simple booking — it’s about ensuring smooth, well-planned, and high-quality travel experiences across multiple areas.
The position includes three main responsibilities:
Founders’ Travel Support — Plan and manage all travel arrangements for company founders, including flights, accommodations, visas, insurance, transfers, and on-site logistics.
Global Team Offsites — Organize company offsites for employees from around the world, handling all logistics such as venue selection, hotel booking, activities, and team events.
Employee Travel for Events — Assist team members with travel arrangements for business trips, conferences, and corporate events.
Responsibilities
Travel Coordination: Plan and manage comprehensive travel arrangements, including tickets, hotels, transfers, and insurance, ensuring a high level of service and comfort.
Event & Offsite Organization: Coordinate offsites, conferences, and business events — from booking venues and accommodations to managing schedules and activities.
Visa & Documentation Management: Identify visa requirements, prepare documentation, and secure necessary approvals.
Meeting & Logistics Planning: Schedule and organize meetings, reservations, and local logistics.
Vendor Coordination: Communicate with travel agencies, hotels, and transport providers to ensure efficiency and reliability.
Record Keeping: Maintain accurate records of all travel itineraries, expenses, and reports.
Provide personal support to the CEO and occasionally the CPO. About 70–80% of the role is travel management for events, offsites, and the founders, and the remaining 20–30% is non-travel personal assistant work.
Qualifications
Experience: Proven experience supporting C-level executives is required. Background in travel coordination, event management, or business travel is preferred.
Languages: English — advanced level
Industry Knowledge: Strong understanding of the travel and hospitality industry, including flights, hotels, and ground transportation.
Skills: Exceptional organizational and multitasking abilities, attention to detail, and a proactive, problem-solving mindset.
Service Excellence: Demonstrated ability to deliver premium-level service and manage complex logistics seamlessly.
