The company leverages two arms: i) acquiring existing letting agencies, effectively buying its highly sticky, recurring revenue-type landlords portfolios, and then ii) building a top-notch technology to automate tenant management, payments, and post-rental property maintenance. The company seamlessly integrates AI services to automate all business processes within brick-and-mortar real estate agencies, integrating them into a tech-enabled digital letting platform in two months to radically improve the user experiences and increase efficiency of the business.

The Role

We are seeking a highly detail-oriented and versatile Senior System/Data Analyst to join our team, focusing on the critical Payments and Financial Accounting domain. This is a cross-disciplinary role that sits at the intersection of Systems Analysis, Data Engineering, and Finance, with the core mission to fully automate and optimize our complex financial workflows. You will be responsible for ensuring the absolute accuracy of money movement and financial reporting for a portfolio of thousands of properties.

Key Responsibilities

Imagine a small estate agency with a portfolio of a thousand flats. That’s a thousand monthly payments from tenants.

  • It’s great when we receive payments by direct debit and know exactly what each payment is for and who it’s from.

  • But in 40% of cases the tenant initiates the payment themselves. They may forget to include the reference number that tells us which contract the payment belongs to.

  • They may not specify the period the payment covers — and every tenant has their own payment cycle, starting from their move-in date.

  • In one month a payment may come from the tenant’s account, and the next month — from his wife’s account.

  • In some cases tenants are late or even refuse to pay — we need to contact them and agree an individual repayment plan for the arrears.

  • After we receive a tenant’s payment, we need to take the agency commission, deduct any expenses that occurred (for example, repairs), and send the remainder to the landlord. Keep in mind that some repair costs may be split across several months, or may have been paid directly by the landlord.

  • Keep in mind the nuances of payment-system fees.

  • In the UK client money and agency money are held in separate accounts — don’t double-count cash flows.

Traditionally these calculations are done manually by people. We want to automate this work 100%. It’s a fairly complex domain that requires extreme accuracy.

  1. Payments & Financial Process Automation:

  • Analyze and fully automate the end-to-end payment lifecycle for tenant rent and landlord payouts, aiming for 100% elimination of manual reconciliation for complex scenarios (e.g., self-initiated payments without reference numbers, misaligned payment cycles, varying source accounts).

  • Deep dive into existing production logic, read backend code, and reverse-engineer complex financial calculations to design automation logic.

  • Develop meticulous, cent-accurate Technical Specifications (TS) for the engineering team to implement payment and accounting logic.

  1. Data Accuracy & Reconciliation:

  • Design and implement control dashboards and reconciliation processes to ensure total financial accuracy across all systems, validating control sums down to the cent.

  • Define and track logic for handling payment arrears, debt collection plans, and complex expense deductions (e.g., agency commission, repair costs, multi-month splits).

  • Ensure correct separation and accounting of client money and agency money in compliance with UK regulations, avoiding double counting of cash flows.

  1. System Analysis & Development Support:

  • Model and track complex financial flows, integrating nuances like payment system commissions.

  • Act as a bridge between the business's financial complexity and the engineering team.

  • Occasionally contribute small code changes (e.g., a pull request of 15 lines of code) to solve problems or prove concepts directly, in lieu of lengthy documentation.

  • we are now on the way from 0 to 1, then there will be scaling 1 -> N, and there is an opportunity to see how companies of different stages grow and develop

Requirements

You’re a great fit if you

  • Possess the high level of autonomy and "full-stack analyst" skill set expected of a Senior Analyst.

  • Thrive on solving complex technical challenges, particularly those involving financial data and high accuracy.

  • Prefer working with data and systems logic over managing people or pushing stakeholders.

  • Are a relentless perfectionist when it comes to financial reporting and reconciliation.

  • Are comfortable with reading and understanding backend code to inform specifications.

  • Have working English that allows for seamless professional communication.

Conditions

  • Remote (+/- London timezone).

  • Market compensation in GBP (ability to receive foreign currency payments is required).
